1. Data Controller 

1.1 A Data Controller is an organisation that collects and uses personal data and decides how that personal data is used and managed. Kontri Ltd (registered in England, number 08505698, registered office: 49 Hevea Road Burton-on-Trent DE13 0SH, 020 3129 1615/+44 20 3129 1615, privacy@kontri.co.uk is the Controller of the personal data you (Data Subject) provide us. We are registered with the data protection supervisory authority in the UK- Information Commissioner's Office (ICO) under the following registration number: ZA903038.

2. Situations in Which We Collect Your Data 

Your personal data may be collected, among others, when you: 

  • visit our website, which uses cookies and similar technologies (for more information visit section Cookie Policy);
  • register a Customer Account with us;
  • place an order with us; request a return, refund;
  • subscribe to our Newsletter service (emails about our new arrivals, promotional offers, discounts and so on) and when you open our Newsletter;
  • contact us for example by sending an email to our Customer Support;
  • participate in our promotions (such as competitions, prize draws);
  • respond to surveys or feedback requests
  • submit reviews on our website
  • exercise your legal rights. 

3. Types of Personal Data Collected

3.1 The personal data we may collect includes:  

  • Browsing data – Information about your activity on our website, including navigation patterns and certain technical details about your device and access (for more details, see our Cookie Policy). 
  • Shopping preferences – Data related to your shopping behavior, preferences, and purchase history. 
  • Personal identification data – Information necessary to process your order, deliver your items, and manage your Customer Account. 
  • Communication records – Any correspondence or interactions you have with our Customer Support or other representatives. 
  • Reviews and comments – Information you provide when submitting product reviews or comments on our website, such as your name (or display name), the content of your review, and/or the time of submission. Reviews may be published on our website together with your display name. 
  • Order details – Information about the products you have purchased, including transaction history 

3.2 Our websites are not intended for children, and we do not knowingly collect data relating to children. 

3.3 Providing personal information is voluntary, but it may be required to use our services or complete a transaction. 

3.4 Some of the above personal data is collected directly (for example when you register a Customer Account with us, change any of your details via your Customer Account, make a purchase or send an email to our Customer Support). Other personal data is collected indirectly, for example your browsing or shopping activity. 

3.5 We may offer you the option to register and sign in using a third-party social networking or integrated service (for example: Facebook, Google+, LinkedIn, PayPal account). If you choose to do so (and authorise such access requests), we will collect certain personal data (such as your name and surname, email address) stored on these accounts for registration or identification purposes. Using this option speeds up registration (no additional passwords to remember). Rest assured that we do not publish on your behalf on any of those social accounts. You can disconnect the accounts at any time and revoke transfer of data with future effect by changing your settings of respective services (for example for Facebook here or Google here). Make sure to read personal data processing policies of these services as well.

4. Purposes of Processing

We need to process your personal data for a number of different reasons. The following is a summary of how and according to which legal bases we use your personal data, pursuant to Article 6(1) of the UK GDPR or EU GDPR depending on whether you reside in the United Kingdom or in the European Union: 

4.1 Processing Necessary for the Performance of a Contract or Pre-Contractual Steps Article 6(1)(b) UK GDPR / EU GDPR) 

We process your data when it is necessary to perform our contract with you or to take steps prior to entering into a contract, for example: 

  • to provide goods and services to you; 
  • to offer customer support; 
  • to ensure proper functioning of our website (e.g., to store how many items are in your shopping bag); 
  • to manage your registered Customer Account;  
  • to display your reviews (e.g., product reviews) on our website; 
  • to process your returns, refunds, complaints etc.; 
  • to send you service-related emails to keep you updated on your order or account, such as payment reminders or shipping confirmations; 
  • to administer any promotions (prize draws, contest, competitions) that you choose to enter and deliver prizes to the winners. 

4.2 Processing Based on Legitimate Interests (Article 6(1)(f) UK GDPR / EU GDPR) 

When we process personal data to fulfil our legitimate interests, we will use it in a way in which you would reasonably expect, and which will have a minimal privacy impact. Those instances include: 

  • handling customer queries not strictly related to our contract with you our pre-contractual obligations; 
  • analysis and statistical purposes; 
  • verification of reviews (e.g. product reviews) submitted by users; 
  • maintaining the integrity of our IT systems and the continuity of our business operations, 
  • business management (to conduct business planning, reporting, and forecasting), business and processes optimisation; 
  • training our staff to ensure you receive the best possible customer support when you contact us; 
  • exercising rights to protect our interests in cases of infringement; including taking appropriate measures to prevent or respond to actions that may harm our reputation, such as defamation, dissemination of false information, or abuse of our services; 
  • showing you targeted advertising. 

4.3 Processing Required for Compliance with Legal Obligations (Article 6(1)(c) UK GDPR / EU GDPR) 

We process your data when it is necessary to comply with legal obligations to which we are subject, for example: 

  • to maintain records necessary for compliance and tax purposes; 
  • to disclose information to competent authorities where required by law. 

4.3.1 Product Safety and GPSR Compliance (GPSR EU and UK) 

In addition, we may process personal data to comply with product safety regulations, including the European and UK General Product Safety Regulation (GPSR). This may involve: 

  • identifying and reporting potential product risks. 
  • ensuring that products meet required safety standards. 
  • notifying relevant authorities or users about necessary safety actions. 

To carry out these tasks, we may use the following information: 

  • Customer identifiers- personally identifiable information such as name, surname, and email address. 
  • Details about purchased products. 
  • Contact information for sending notifications. 
  • Information about reported safety issues. 

4.4 Processing Based on Your Consent (Article 6(1)(a) UK GDPR / EU GDPR) 

We may process your data based on your consent in order to: 

  • contact you by email: about our new arrivals, promotional offers, discounts (when you subscribe to our Newsletter, we use a double opt-in process to confirm your consent — you will receive an email with a confirmation link that must be clicked before your subscription becomes active); 
  • provide you personalized offers on third party websites, based on your browsing history (when you accept our advertising/tracking cookies); 
  • evaluate and improve effectiveness of our marketing campaigns (when you accept our advertising/tracking cookies); 
  • monitor the performance of our website and to constantly look to improve our site and user experience (when you accept our performance related cookies); 
  • analyse traffic on our website and share this data with third parties, such as our social media, advertising and analytics partners who may combine it with other information that you’ve provided to them or that they’ve collected from your use of their services (when you accept our advertising/tracking cookies) ; 
  • re-engage you through multiple, frequently used channels following your purchases when you are Google registered user (when you accept our advertising/tracking cookies); 
  • invite you to review our service or products. 

When we are relying on consent as our legal basis to process your personal data, you have the right to withdraw consent at any time. 

5. Duration of Data Storage

We will keep your personal information for the purposes set out in this Privacy Policy and in accordance with the law and relevant regulations. In most cases, we are required by law to retain certain data even if you no longer shop with us – for example, to meet tax or accounting obligations. Typically, this information is kept for up to six years after your last purchase, unless a longer retention period is required by law. 

You may request the deletion of your Customer Account at any time by contacting us at privacy@kontri.co.uk. We will delete your account and the associated personal data provided that all related transactions have been completed, there are no outstanding legal obligations (such as tax or accounting record keeping), and we have no overriding legitimate interest in retaining certain information (for example, to handle ongoing disputes or prevent fraud).

6. Disclosure of Data to Third Parties

6.1 Your personal data may be shared with trusted third parties that help us operate our business, for example, to process your orders, deliver products, provide customer support, or manage marketing activities. These third parties process your personal information on our behalf and are required to meet high standards of security before doing so. 

These companies may belong to the following categories, though the list is not exhaustive: 

  • Technology providers – partners that provide IT/website/webstore services; provide solutions for managing customer communications across multiple channels; deploy email campaigns; send invitations to review our service. 
  • Payment providers (such as Paypal). 
  • Customer Support providers – partners who assist by answering your questions about our products, your orders, and your account. 
  • Distributors and manufacturers of goods – partners who fulfil orders and deliver products to you, who may also manage your returns on our behalf. 
  • Delivery companies – couriers, postal companies and other firms that deliver your goods to you. 
  • Returns centers – companies that accept and process returns from our customers. 
  • Marketing service providers – marketing agencies, advertising partners (including social networks) that help deliver our marketing and advertising to you; partners that assist in management of our promotions (prize draws, contests, competitions). Our advertising may include interest-based advertising (also known as online behavioural advertising), contextual advertising. We and our advertising partners may process certain personal data to help us understand your interests or preferences so that we can deliver advertisements that are more relevant to you. 
  • Consultants, auditors and other similar partners that help us in various ways to improve. 
  • Regulators and other governmental agencies or law enforcement agencies, in response to verified requests or legal processes. We also share your personal data where we in good faith believe that it is necessary for the purpose of our own, or a third party’s legitimate interest relating to national security, law enforcement, litigation, criminal investigation, protecting the safety of any person, or to prevent death or imminent bodily harm, provided that we deem that such interest is not overridden by your interests or fundamental rights and freedoms requiring the protection of your personal data.  
  • In case of merger, acquisition or sale of part of our business - your personal data may be shared with such third parties as part of this process. We will require that the new owner follows this Privacy Policy with respect to your personal information. You will be notified of a change of ownership. 
  • Companies approved by you, such as social media sites (if you choose to link your accounts to us). 

6.2 To display our customer reviews and social media feedback, this website integrates the Trustami badge – a service provided by Trustami GmbH, Schröderstraße 5, 10115 Berlin. The legal basis for data processing is our legitimate interest in promoting our website and products. When the Trustami badge is loaded, the web server automatically collects access data (such as the name of the accessed website, file, date and time of the request, reduced IP address, transmitted data volume, status code, browser type, operating system, referring URL, and the requesting provider). These logs are not evaluated and are automatically overwritten after seven days. Trustami is the controller of the data collected by the badge. 7. Transfer of Personal Data Outside the UK and the EEA

7.1 We may transfer your personal information to third party data processors located outside of the UK and the European Economic Area ('EEA') for the purposes described in this Privacy Policy. We do our best to transfer your personal information only to those third parties where we can be sure that your privacy and your rights are protected, for example,  when that third party is located in a country that has been granted adequacy status by the UK or EU, or when there is a contract in place using the UK’s International Data Transfer Agreement (IDTA) or the European Commission’s Standard Contractual Clauses (SCCs), as applicable.

8. Your rights

8.1 If you reside in certain territories, including the EU and the UK, you have a number of rights in relation to your personal information. While some of these rights apply generally, certain rights apply only in certain limited cases. Your rights include: 

  • Right to be informed about collection and use of your personal data. 
  • Right to access personal data we hold about you. 
  • Right to correct your personal data when incorrect or incomplete (if you have an account with us, you can also correct your data yourself in your Customer Account). 
  • Right to withdraw your consent at any time. 
  • Right, under certain circumstances, to object to processing of your personal data (for example when we are processing your data for the purpose of our legitimate interest). You will find more information about your right to object below. 
  • Right, under certain circumstances, to restrict processing of your personal data (in this case we will not process your data for any other purpose than storage). 
  • Right under certain circumstances, to have your personal data erased, where we no longer have any legal reason to retain them. 
  • Right to request that we provide to you your personal data in a commonly used format, and if technically possible, that we transfer them to another data controller. This is applicable provided that your data is processed by automated means and that processing is based on your consent, on a contract which you are a part of or on pre-contractual obligations. 

8.2 Any requests to exercise your rights can be made in writing. We recommend writing to us at privacy@kontri.co.uk. We will respond as soon as possible within one calendar month at the latest. That period may be extended by two further months where necessary, taking into account the complexity and number of the requests. To protect your information, we will seek to verify your identity before proceeding with any request you make under this Privacy Policy. Kontri Ltd will not discriminate against you because you exercise your rights. For example, Kontri Ltd will not deny you goods or services or charge you a different price or rate for goods or services if you make a request for access, deletion, or object to the processing of your personal data. 

8.3 You may object to the processing of your personal data in the following circumstances: 

  • When your data is processed for the purpose of direct marketing, you can object at any time without providing any justification. 
  • When your data is processed for legitimate interests or statistical purposes, you must provide a specific reason and explain why you are objecting to the processing of your data. Your grounds for objection should be related to your particular situation. 

8.4  If you are based in the UK, you have the right to lodge a complaint with the Information Commissioner’s Office (ICO): https://ico.org.uk/. 
If you are based in the EU, you have the right to lodge a complaint with the competent supervisory authority in your Member State of residence, place of work, or where you believe a breach of data protection law has occurred. 9. Data Security and Your Role

9.1 We acknowledge the importance of responsible use of your personal data, please be assured that we do not sell collected data to any third parties. We use Internet standard encryption technology ("SSL" or "Secure Socket Layer" technology). Look for "https://" at the beginning of the website address in your browser’s address bar. Most browsers also display a padlock icon indicating that the connection is encrypted. 

9.2 We also recommend that you enhance your online safety by following these guidelines: 

  • Keep your account passwords private. Do not share it. 
  • Your password must be at least 10 characters long, contain at least 1 capital letter, and 1 digit or 1 special character. Do not use dictionary words, your name, email address, or your other personal data that can be easily accessed. We also recommend that you frequently change your password. You can do this in your Customer Account. 
  • Avoid using the same password for multiple online accounts. 
  • If you use our website in a public location, we recommend that you always log out of your account and close the website browser for security reasons. 

9.3 This website may contain links to other websites, which are not operated by Kontri Ltd (the "Linked Sites"). These websites are owned and operated by third parties and your use of the Linked Sites will be subject to the terms and privacy policy contained within each such site.

10. Cookie Policy

10.1 Cookies and Similar Technologies 

Cookies and similar technologies are small data files stored on your device (computer, tablet, mobile phone etc.), when you visit a website and often contain a unique identification code. Cookies can then be sent back to the originating website on each subsequent visit, or to another website that recognizes that cookie. They are widely used in order to make websites work, or work more efficiently, as well as to provide information to the owners of the site. Information collected through cookies and similar technologies may include the date and time of the visit and how you use a particular website or mobile application.

10.2 Functions and Benefits of Cookies 

Cookies have different functions. Generally they make a user's experience more efficient. Thanks to them, during your visit to our online shop you remain logged in, all items remain stored in your shopping bag, you can shop safely and the website keeps running smoothly. They also ensure that we can see how our website is used and how we can improve it. 10.4 Session Storage 

Our online store uses Session Storage technology, which allows us to temporarily save data in your browser—for example, data you entered in an account registration form.  The data is stored solely to facilitate the shopping process. This data may include your name, surname, delivery address, or email address. If you wish, you can also manually delete it through your browser settings. The legal basis for processing this data is our legitimate interest.

Kontri Ltd  or companies providing services on behalf of Kontri Ltd may collect, analyse and process user data through the use of:

  • marketing tools for automating product recommendations;

for contract performance, process optimization, analytical, statistical, marketing purposes, and other related objectives. 

The tools and services mentioned above assist, among other things, in tracking statistics and analyzing website traffic. The data collected through these tools and services may also be used to optimize various processes, such as purchasing and shipping. Information that may be collected includes sources and channels through which visitors access the website, their behavior on the site, details about the devices and browsers used, IP addresses, domains, geographical data, demographic information (age, gender), and interests.
